Events Policy

Last updated: 20 October 2026

This policy applies to everyone who joins an event run by Seek Sista, whether or not you are a member. Seek Sista is part of Wild Horizon Group Pty Ltd [ABN 22 698 759 401] (“we, us, our”). It sits alongside our Outdoor Activity Waiver and Release of Liability, our Safety & Wellbeing Guidelines and our Privacy Policy. Members are also covered by our Membership Terms.

1. Who this applies to and how you agree

1.1 By booking or attending a Seek Sista event, you agree to this policy.

1.2 You must be 18 or over to join our events.

1.3 You must sign our Outdoor Activity Waiver and Release of Liability before your first event. It stays valid for 12 months from the date you sign it.

2. Health, fitness and safety

2.1 You are responsible for making sure you are fit and healthy enough for the event you book. Our Difficulty Levels page and Safety & Wellbeing Guidelines will help you choose.

2.2 Please tell us about any medical conditions, allergies or physical limitations that could affect your participation, and let us know if your health changes before an event. We may ask for written clearance from a healthcare professional, particularly if you are being treated for an injury or condition.

2.3 Please follow the guide’s instructions on the day. For safety, the guide may ask a participant to stop, slow down or turn back.

2.4 We are not an emergency service or a health professional. If there is an emergency, we will seek help on your behalf as set out in the waiver.

3. Booking and payment

3.1 You need to pre-register for events through our booking process. For events that have a fee, the fee must be paid in full before the event.

3.2 Some places are limited. Where we offer early access to members, any remaining spots are then opened to everyone.

4. If you need to cancel

4.1 These refunds apply to paid events run by Seek Sista. For events run by partner providers, including getaways, the provider’s cancellation and refund policy applies (see clause 6).

4.2 If you cancel, your refund depends on how much notice you give:

14 days or more: Full refund

8 to 13 days: 75% refund

3 to 7 days: 50% refund

Less than 3 days, or no-show: No refund

4.3 All cancellations must be communicated by email to kirsty@seeksista.com.au.

4.4 Free events, such as member social walks, have nothing to refund. Please still give us at least 48 hours’ notice if you can’t attend. Members who don’t may lose priority access to events for one month.

4.5 These refund rules sit alongside your rights under the Australian Consumer Law (see clause 11.1).

5. If we cancel or change an event

5.1 An event goes ahead with a minimum of 3 participants. If the minimum is not met, we will contact you at least 48 hours before the event to offer a full refund or a transfer to another date.

5.2 We may also cancel, postpone or change an event because of weather, track conditions or safety concerns. The lead guide makes the final call. In that case, you will receive a full refund or the option to transfer to a new date.

5.3 We will let you know as soon as possible. We are not responsible for other costs you may have incurred, such as transport, accommodation or gear.

5.4 We are not in breach of this policy where an event is affected by a Force Majeure Event, meaning something beyond our control such as extreme weather, fire, flood, track closures, illness of a guide, or changes to regulations.

6. Events run by other providers

6.1 Some events are run by partner outdoor activity providers. For those events, the provider’s cancellation and refund policy applies, and the provider may ask you to sign their own waiver.

6.2 Your booking for the provider’s service is a contract between you and the provider. We will help with communication where we can, but we are not responsible for their policies, services or safety practices.

7. Being part of the group

7.1 Please be respectful and kind to other participants and to our guides.

7.2 Please don’t contact other participants outside the event without their consent.

7.3 If someone is disruptive or disrespectful, or puts the safety of the group at risk, we may ask them to leave the event. No refund will be given in that case.

8. Privacy and confidentiality

8.1 People often share personal things on a walk. Please keep what others share confidential and don’t repeat it outside the group.

8.2 Please don’t record group conversations.

8.3 The health and contact information you give us in the waiver is collected to look after your safety at events. See our Privacy Policy for how we handle personal information.

9. Photos and videos

9.1 We may take photos and videos at events for Seek Sista promotional and social media use, as set out in the waiver.

9.2 If you would like to opt out, tell us in writing before the event.

10. WhatsApp event groups

10.1 For each event, we may create a temporary WhatsApp group to help participants connect and coordinate. Event groups are removed one month after the event.

10.2 If you join the Seek Sista WhatsApp community chat, the community rules in the chat apply.

11. Your rights and our liability

11.1 Our events come with guarantees under the Australian Consumer Law that cannot be excluded. Nothing in this policy limits those rights.

11.2 Outdoor activities carry risks, and you take part at your own risk as set out in the waiver. To the extent the law allows, we are not liable for loss or damage arising from your participation.

12. If there is a problem

12.1 If you have a concern, please contact us first at kirsty@seeksista.com.au and we will do our best to sort it out.

12.2 This policy is governed by the laws of NSW, Australia.
